How to say you are adding someone to an email thread
KeepReap Editorial
Ways to say it
Adding Sam, who owns
NeutralA2Plain and clear in any context. Naming what they own tells the new reader why they are here and tells the rest who to ask next.
ExampleAdding Sam, who owns the billing integration and can answer the refund question directly.
Looping in
CasualB2Very common in internal English-speaking teams. "No action needed" is the useful half: without it, everyone added assumes they are now on the hook.
ExampleLooping in Priya for visibility — no action needed from her side.
I'm copying in
FormalB1For external threads and anything with a compliance flavour. Signals a deliberate, recorded decision rather than a casual mention.
ExampleI'm copying in our data protection officer, as the request concerns retention periods.
When not to use
Do not use these when you are actually handing the thread over and stepping away — "looping in Sam" while quietly stopping work leaves the sender waiting on you. Say so explicitly: "Sam is taking this from here; I'll drop off the thread." Ambiguous additions are the most common way a request ends up owned by nobody.
